Using Groups

The File Library allows you to upload any type of file onto the server, then use those files on your web pages.  Many times there are a lot of different files that you may want to group together.  Grouping of files makes sense in either of these situations:

  • Organizing your File Library to make things easy to find
  • Using your files as a group to make pages easier to create

In either case, using the Grouping feature of the File Library will streamline your work.

The steps to using a group are:

  • Creating a group
  • Adding files to the group
  • Placing the group in your page

First, to create a group, open up your File Library from the yellow menu in the Site Builder.  Here is a sample of the top of the File Library Menu- the highlighted areas are used when creating a group- or, using a group on your page.

Before any files are put into a group, you must first create a group.  This is achieved by clicking the 'add a group' button in the file library (highlighted in the picture above).  Clicking that button will bring up the following page:

At this point, just type the name of your group into the box, and hit 'save information'.  This name will be used as a group header when a group is included in one of your pages!

Now that you have a group, you can assign files to the group.  This can be done either when adding the file to the library, or later, when editing a file's information.  Click on the filename, which will bring up the edit window (same as the 'add' window).  At the bottom of the window there is a drop-down box listing all of the groups you have added.  Selecting one of these groups will place the file into that group.

When the information is saved, the file will now be part of that group.  When the File Library main menu is displayed, the files are sorted by groups.  This allows you to organize your files by subject.  Here is a sample of some files that have been organized by groups.

If the only reason you wanted to use the group feature was to organize your files- you are all done!  But, if you want to use that group in your website there is one more step to take.  The group is used on a page by using a *groupx* code.  Each group has a number- in the picture above, those numbers are circled.  Enter this into the code, and the entire group will be added to your webpage in the form of a bullet list.  Each file in the group will be listed, with a link to the file.  Both data and graphic files will show up in the liste if they are in the group.  Here is an example of the output from the *groupx* code.  I have used a sample group from this help site related to the Guestbook.  All of the links work- and they all go to graphic files- but typically these could go to forms, or data documents.
